Log incoming mail
Photograph each piece as it arrives and log it to the right box; the customer is told at once.
Log each piece as it arrives and the customer is told at once. Logging needs the Mailroom or Run mailboxes permission.
Log a piece
- Step 1Open Mailboxes and select Open the mailroom on a live location.
- Step 2On Log mail, type in Find by box number or name and select the box. It shows the names it Accepts mail for.
- Step 3Under Envelope photo, select Take or choose a photo and photograph the front of the envelope or label. Do not open it.
- Step 4Under What is it, choose the kind of piece.
- Step 5Add Sender (optional), Addressed to (optional), Weight in ounces (optional) and Where it is kept (optional) if you have them. For a package or signed-for mail, add the Carrier and Tracking number.
- Step 6Tick Signed for for certified, registered or signature-required mail you signed for.
- Step 7Select Log and notify.
Everyone on the mailbox gets an email with the sender, and the piece appears in their mailbox with your photo.
Note: A box that is not verified yet, or paused for an unpaid invoice, still takes mail: the piece is logged and kept, but not released. Mail for a closed box in its remail period is queued to forward to the customer's remail address. A fully closed box cannot be logged: return the piece to the sender.
No box matches
- Step 1Select No matching box?
- Step 2Choose Why it cannot be matched, for example a name not on the box's PS Form 1583.
- Step 3Take the photo and select Log and notify. It goes to the unmatched lane.
- Step 4Later, on To do, under Unmatched, select Assign to a box or Return to sender.
Work the requests
The To do tab lists what customers asked for, oldest first: Scans to do, Parcels to pack, Waiting for pickup and To shred or recycle. Upload each scan, mark parcels shipped with the carrier, tracking number and postage, and check the photo ID before you Hand over mail. The Logged tab shows what was logged recently.
